Job description

As a Team Assistant, you will play a key role in the smooth day-to-day running of the firm and provide operational support to the partners and the team.

You will be involved in a wide variety of areas, including administration, accounting, human resources, internal organization, and business development. Through your organizational skills, discretion, and versatility, you will actively contribute to creating a structured, professional, and pleasant working environment.

Your responsibilities will include:

Administration & Team Support

  • Ensure the smooth day-to-day functioning of the team and contribute to maintaining a professional and welcoming work environment
  • Schedule appointments and coordinate meetings
  • Organize business travel and reservations (train, hotel, flights, restaurants)
  • Manage emails and handle correspondence
  • Ensure internal communication within the team
  • Manage filing, archiving, and organization of documents and client files
  • Create, manage, and update a document database
  • Manage agendas for each file (monitor deadlines and key dates)
  • Prepare and compile case files and procedural documents
  • Centralize administrative or operational issues and follow up with relevant stakeholders
  • Maintain tracking tools, administrative documents, and various correspondence in line with instructions
  • Order office supplies and ensure related administrative follow-up

Accounting & Financial Support

  • Act as a liaison with the external accounting service
  • Provide administrative support for the preparation and follow-up of sales invoices
  • Manage and process billing for services rendered, including verification of timesheets/service reports
  • Monitor cash flow, outstanding payments, and payment reminders
  • Assist with the administrative management of third-party accounts
  • Human Resources
  • Ensure administrative follow-up of onboarding and offboarding processes in collaboration with the firm’s office management team
  • Participate in the integration and departure of team members
  • Organize internal events and team-building activities

Business Development, Marketing & Communication

  • Contribute to the organization of firm and team events and marketing activities
  • Support business development initiatives (prepare PowerPoint presentations and other commercial materials)
  • Assist in preparing submissions for legal rankings and directories such as Leaders League or Chambers
  • Follow up on client relationships
  • Participate in marketing meetings with the partners
  • Coordinate online communication and social media content in collaboration with the office management team and external partners
  • Propose content and ideas for LinkedIn publications
  • Contribute to improving the firm’s visibility and business development efforts

 Profile

  • Strong service mindset with excellent interpersonal skills
  • Discreet, reliable, and capable of handling confidential information professionally
  • Autonomous, proactive, and willing to take initiative
  • Flexible and able to adapt quickly to different situations
  • Excellent writing and communication skills
  • Excellent command of French and Dutch; good knowledge of English is an asset
  • Proficient in MS Office and AI tools
  • Experience in a law firm, a demanding professional environment, or in business development is a plus
