Job Description:

As an Office Assistant, you will support the Office Manager in her daily tasks and assist with various operational activities within the office. You will help ensure the smooth operation of the office and create a welcoming environment for both colleagues and clients.

Your Responsibilities:

  • Support in organising office events and marketing-related tasks
  • Administrative support in HR (responding to applications, onboarding and offboarding)
  • Administrative support in the procurement process (requesting quotes, preparing orders, etc.)
  • Manage and follow up on invoices, and liaise with the external accounting department
  • Reception work

Profile:

The Office Assistant we are looking for can identify with several of the following qualities:

  • You love planning and organising: multitasking and prioritising are no problem for you.
  • You are friendly, communicative, and have a caring nature.
  • A thorough knowledge of Dutch and French is required, and good knowledge of English is a plus.
  • You are naturally discreet and trustworthy, and you handle confidential information professionally.
  • You are flexible in adapting to changing circumstances and are willing to evolve your tasks accordingly.
  • You are proactive and like to take initiative.
  • Experience or broad interest in marketing is a plus
  • You have a good knowledge of MS Office.

Job-Related Competencies:

  • Reception & hospitality: scheduling appointments and welcoming visitors
  • Managing email messages and handling correspondence
  • Ensuring internal communication
  • Filing and archiving documents
  • Placing orders
  • Managing correspondence, tables, etc., according to instructions
  • Answering phone calls, taking messages, and forwarding calls
  • Coordinating online communication and social media content in collaboration with external partner.
  • Performing actions to support the onboarding/offboarding process
  • Responding to application letters
